How to Manage Email Storage and Quotas

31 Dec 2025 · 4 min read · DelhiHosting Team

Email quotas cap how much each mailbox can store. Managing them keeps mail flowing and stops one account filling your whole disk allowance.

Why quotas exist

A quota limits each mailbox’s size so a single account can’t consume all your space. When a mailbox hits its quota, it stops receiving new mail until space is freed.

Adjust and monitor

In Email Accounts you can set or raise each mailbox’s quota and see current usage. Give busy accounts more room, and watch for any nearing their limit.

Keep mailboxes lean

Encourage downloading or archiving mail, emptying trash and spam, and clearing large attachments. Since mailbox space is working space, regular housekeeping keeps everything flowing smoothly.

Quick tips
  • Quotas stop one mailbox eating all space
  • Set/raise quotas in Email Accounts
  • Watch accounts nearing their limit
  • Archive and empty trash regularly
Key takeaway

Quotas keep any one mailbox from filling your disk — set sensible limits, watch usage, and keep mailboxes tidy so mail keeps arriving.
